Senior Project Manager – Patient Recruitment

Purpose:

The position is the primary liaison between patient recruitment services and the client. The senior project manager is responsible for researching and understanding the scope of the project in order to develop the appropriate patient recruitment services strategies (i.e., media materials, advertisements, etc.). The senior project manager will coordinate the overall design and development of patient recruitment materials and execute and manage all aspects of the awarded program. The senior project manager works with a high level of autonomy and minimal input from the head of department.

Essential Job Functions/Responsibilities

40%

  • Communicates with client to provide timely project updates and project related fiscal information. Act as principle patient recruitment services liaison between client, investigative sites and PPD.
  • Coordinates/manages media plan implementation with vendor(s), making real-time adjustments to plan as needed.
  • Develop and influence strategic and operational decisions to promote growth of the department.
  • Leads the design/development of all materials required to implement assigned patient recruitment projects. This includes advertisements, direct mail letters, patient education materials, etc.
  • Responsible for tracking and reporting of program metrics and management of all recruitment campaigns. Works with clinical team in identifying potential risks, if any, to not meeting enrollment goals.
  • Establishing and recognizing financial targets and metrics with all third-party service providers, subcontractors and negotiating all bill rates and pricing. The position will be responsible for the tracking and reporting of program metrics and management of the project timelines and budget.
  • Responsible for setting parameters for monthly invoicing of internal and external services on every project.

  • Provides overall management for allocated programs. This includes client and vendor management; coordination of all recruitment activities, patient recruitment team members, program design, production and implementation.
  • Responsible for tracking and reporting of program metrics and management of all recruitment campaigns.
  • Works with clinical team in identifying potential risks, if any, to not meeting enrollment goals.
  • Oversees IRB/EC approval processes for all patient recruitment and retention materials.

20%

  • Contribute to departmental growth through internal (PPD) and external (client) business development opportunities.
  • Serves as a mentor and/or provides project management oversight to Associate Project Managers and Project Assistants.

Qualifications

Job Scope:

  • The Senior PM routinely manages projects with a scope over $1MM and for PPD preferred clients.
  • Serves as a mentor and/or provides project management oversight to Associate Project Managers and Project Assistants
  • Interacts frequently with internal personnel and outside representatives at various levels.
  • Participates and presents at meetings with internal and external representatives. Interaction typically concerns resolution of operational and scheduling issues.

Qualifications:

Minimum Required Education and Experience:

  • Bachelor’s degree or equivalent and relevant formal academic / vocational qualification
  • Previous experience that provides the knowledge, skills, and abilities to perform the job (comparable to 5+ years’) or equivalent combination of education, training, & experience.

 Required Knowledge, Skills and Abilities:

  • Demonstrated and superior client management and customer service skills
  • Extensive patient recruitment experience, including management of media (e.g., TV, radio, newspaper, etc.).
  • Extensive understanding of clinical trial process (design and conduct) across Phases II – IV and how patient recruitment fits within the process.
  • Strong ability to understand clinical protocols and associated study specifications and develop effective patient recruitment strategies accordingly.
  • Demonstrated understanding of IRB submission and review processes.
  • Demonstrated Project management experience in a fast-paced environment.
  • Demonstrated ability to develop and manage project timelines and budgets.
  • Extensive experience of managing multiple external vendors to contract
  • Demonstrated proficiency with MS Office Suite (Word, Excel, and PowerPoint) and Publisher.
  • Strong written and verbal communication and interpersonal skills.
  • Excellent presentation skills.
  • Ensures accuracy of all deliverables to client.

Working Conditions and Environment:

  • Long, varied hours required occasionally.
  • Required to participate in on-call rotation as rotation requires.
  • Some travel may be needed; up to 20%.
  • Frequent exposure to electrical equipment.
  • Required to carry company provided cell phone.

Physical Demands:

  • Frequently stationary for 6-8 hours per day.
  • Repetitive hand movement of both hands with the ability to make fast, simple, repeated movements of the fingers, hands, and wrists.
  • Frequent mobility required.
  • Occasional crouching, stooping, bending and twisting of upper body and neck.
  • Light to moderate lifting and carrying (or otherwise moves) objects including luggage and laptop computer with a maximum lift of 15-20 lbs.
  • Ability to access and use a variety of computer software developed both in-house and off-the-shelf.
  • Ability to communicate information and ideas so others will understand; with the ability to listen to and understand information and ideas presented through spoken words and sentences.
